Learn how to record an existing supplier's outstanding opening balance in XPower, including the balance date, reference number, and amount.

Add a Vendor Opening Balance

The Vendor Opening Balance feature allows you to record an existing outstanding balance for a supplier when starting to use XPower or transferring supplier balances from a previous accounting system. This helps maintain the supplier's opening payable balance without entering the original purchase transactions individually.

Before You Begin

  • You must have permission to access the New Vendor page.
  • The supplier must already be registered in XPower.
  • Prepare the supplier's outstanding balance amount as at the relevant opening date.
  • Have a suitable reference number ready for the opening balance entry.
  • If applicable, identify the Sales Man associated with the entry.
  • Ensure you are working in the correct company and branch.

Step-by-Step Instructions

Step 1: Open the Vendor Page

  1. Open the New Vendor page in XPower.
  2. The screen displays the existing suppliers under Vendor Details.
  3. Use the Search box to find the supplier by name or other displayed information.
  4. Click the required supplier's name to load its existing details.

Step 2: Open the Beginning Balance Form

  1. After selecting an existing supplier, additional action buttons become available.
  2. Click Add Balance.
  3. XPower opens a popup titled Beginning Balance, displaying the selected supplier's name.
  4. Verify that the correct supplier has been selected before entering the opening balance.

Step 3: Enter the Opening Balance Details

  1. Date: Select the applicable opening balance date. The field initially displays the current date. Use the date picker if another date is required.
  2. Vendor ID: The selected supplier's identification number is displayed automatically. This field is read-only.
  3. Sales Man: Select the relevant Sales Man from the dropdown, if applicable. The list is populated using the Sales Man records available for the current branch.
  4. Ref. No: Enter a reference number for the opening balance transaction. This field is mandatory.
  5. Amount: Enter the supplier's opening balance amount. This field is mandatory and accepts numeric input.
  6. If an additional checkbox is displayed beside the Amount field, follow your company's configured procedure for that option. Its initial selection depends on the branch configuration.

Step 4: Save the Opening Balance

  1. Review the supplier, date, reference number, and amount carefully.
  2. Click Proceed to submit the opening balance.
  3. XPower checks whether the mandatory fields have been completed.
  4. If the entry is accepted, the screen returns to the New Vendor page.
  5. If the system displays a warning, read the message and correct the relevant information before trying again.
  6. To exit without submitting, click Close.

Field Reference

Important Rules

  • Existing Supplier: You must select an existing supplier before the Add Balance button becomes available.
  • Mandatory Fields: Date, Ref. No, and Amount must be completed before the entry can be submitted.
  • Vendor Identification: The Vendor ID is automatically obtained from the selected supplier.
  • Branch Restriction: The Sales Man dropdown displays records belonging to the current branch.
  • Reference Number: A reference number must be entered. Additional duplicate-reference validation may apply; confirm in the live XPower screen.
  • Configuration: An additional checkbox associated with the amount is initially checked or unchecked according to the branch configuration.
  • Balance Accuracy: Confirm the amount against your existing supplier statement or previous accounting records before submitting.
Important: Enter the opening balance carefully to avoid recording an incorrect supplier outstanding amount. Before entering the same balance again, confirm whether an opening balance has already been recorded for that supplier.

Common Issues

  • Problem: Add Balance button is not visible. Select an existing supplier from the Vendor Details list. The button becomes available after the supplier's record has been loaded.
  • Problem: Unable to proceed. Check that Date, Ref. No, and Amount have been completed.
  • Problem: Incorrect supplier appears in the popup. Close the popup and select the correct supplier from Vendor Details.
  • Problem: Sales Man is not available in the dropdown. The list displays Sales Man records belonging to the current branch. Contact your administrator if the required record is missing.
  • Problem: A warning appears after clicking Proceed. Review the message displayed by XPower, correct the relevant information, and submit again.

After Saving

When the opening balance entry is successfully accepted, XPower returns to the New Vendor page.

The opening balance is submitted for the selected supplier with its date, reference number, amount, and applicable additional information.

To verify the resulting outstanding balance and accounting entries, refer to the relevant Vendor Balance or supplier transaction report available in your XPower configuration.
