How to Edit a Customer

Follow this guide to complete the task in xPower.

Edit Customer Details

Use this function to update a customer’s contact information, credit settings, sales representative, customer type, loyalty group, profile image, and other account details.

Steps

  1. Open the Customers screen.
  2. Find the required customer in the customer list.
  3. Select the customer ID, customer name, telephone number, address, or dealer code to load the customer record.
  4. Review and update the required details under the Basic tab.
  5. Update customer details where applicable, including:
    • Customer name, address, district, city, and area type.
    • SMS mobile number, telephone number, fax number, and email address.
    • Credit limit, due days, bill-to-bill value, discount level, and discount.
    • Salesman, dealer code, customer type, loyalty group, and active status.
    • VAT number, bank details, customer status, customer colour, source, and remarks.
  6. Open the Contact tab to add, edit, or remove customer contact persons.
  7. Open the Extra tab to update optional business, ownership, tax, source, and other additional details.
  8. Open the Logo Place Upload tab to replace or add the customer profile image if required.
  9. Select Update to save the changes.

Managing Contact Persons

  • Add a contact person by entering the title, name, contact number, designation, email, date of birth, and remarks, then select Add.
  • Use the edit option to amend an existing contact person.
  • Use the delete option to remove a contact person that is no longer relevant.
  • When the customer is updated, XPower refreshes the saved contact-person details for that customer.

Managing Salesmen

One or more salesmen can be assigned to a customer. When customer details are updated, XPower maintains active assignments for the selected salesmen and can deactivate previous assignments according to the user’s permission settings.

Important Notes

  • Do not change the Customer ID unless your organisation has approved a controlled process for it.
  • Keep the customer marked as Active if the account should remain available for transactions.
  • Use inactive status instead of deleting a customer that has transaction history.
  • Confirm the customer’s branch before making changes.
  • Use a valid email address if the customer will receive system emails or online-order account invitations.

Common Issues

  • Changes are not saved: Check that all required fields are completed and that the email address is valid, if entered.
  • City is not available: Select the district first, then select the city.
  • Salesman assignment is incorrect: Review the selected salesmen before selecting Update.
  • Profile image is not updated: Upload a supported image format and save the customer record again.
